Keep a copy of your checklist with your wedding planning notes and give a copy to anyone who is helping you with your wedding plans, such as your maid of honor, groom and your mom. Also keep a copy on your noticeboard or somewhere where it can be quickly referred to should you need it.
It is better to groom some juniors in advance so that, god forbid, if you fall sick at the last moment, they will be able to pull the event through. Most meeting planner checklists and conference planning guides, such as the one described here, put too much pressure on the meeting planners. Most of the tasks have to be documented by the planners themselves on such meeting planner checklists. Moreover, you ca not afford to lose your meeting planner checklist probably because you have not only documented all critical activities there but also because you have pinned vendors and contractors receipts and bills to it. The latter you certainly ca not afford to lose.
Your meeting planner checklist does not end here. As the date of the meeting draws closer and closer, you have to check and reconfirm that everything`s as you have decided, that there is not any controversy about the venue, date and time, before you finally send out the invitation cards. You also have to finalize on the rough estimate of the number of people who will be attending the meeting, menu and the caterers, the light and sound effects, accommodation for the VIPs and celebrities, who will go to receive them at the airport, whether you will allow TV personnel to give a live coverage of the event, etc.

So what kind of checklists do event planners use? I think I have seen every possible checklist used in event planning. From excel spreadsheets, to databases, proprietary software, notebooks, slips of paper, calendars and bar napkins. What is the best checklist? Great question and I do not think there is one answer. It depends entirely on what the event planner is comfortable with. Event planners have the reputation of being highly organized and detailed, but how we get organized and detailed is via our checklists. The trick here is how we bridge our checklists to effectively communicate details to clients, vendors and event attendees.
A month before the meeting, meeting planners get hyperactive. They ca not be blamed for it because the meeting planner checklist seems to get longer and longer as they come closer to the meeting date. A meeting planner checklist at the initial stage tends to be short and broad outlining only general categories of tasks to be done. As the day of the meeting approaches, the meeting planner checklist becomes more elaborate and detailed as each category gets divided into several tasks which have to be executed with precision if the meeting`s to be a success.
